Standard Terms & Conditions:

Fees may be applied per person according to the Cancellation Fee Schedule below, based on the date we receive your written notification, not when you send it or notify us by phone.

Galapagos and Amazon cruises have their own policies, so please check with us for the policies of the ship you are interested in.


RESERVATIONS:

A deposit is required at the time of reservation. A reservation is not accepted and there is no contract between us until we confirm your reservation in writing. Upon receipt of your deposit, we will email you a confirmation letter.

The trip descriptions that appear on our website and in our brochures and other marketing material are for informational purposes and the specific trip you book may have variations in the itinerary and pricing. The specific inclusions/exclusions in your trip are detailed in the Trip Planner for your specific tour and/or on your itinerary.

You can book a tour with Epr Travel through our website by either inquiring for a tour or through our ONLINE FORM. The person responsible for the booking will be known as the lead passenger. The lead passenger must be at least 18 years of age and have the legal rights and authority. It is the lead passenger’s responsibility to ensure that all passenger information is correct and as stated in the passport.

Please check that all your details are correct, such as passenger information and travel dates and report any incorrect or incomplete information to us immediately.

Last Minute Bookings: If you wish to reserve after the final payment date (typically within 30 days of a trip’s departure date), full payment for the trip will be due immediately if the booking is accepted.

DEPOSITS AND PAYMENTS

All  Epr Travel trips require a 10% deposit per person at the time of booking. Final payment is due 60 days prior to departure (groups) and 30 days prior to departure (FIT’s). If your reservation is made within 30 days of departure, the entire trip cost must be paid when we confirm the trip with you.

Payments can be made via credit  card through the platform We Travel or e-transfer.

By Reservation on behalf of other participants, you are deemed to be the designated contact person for every participant included in that Reservation. This means that you are responsible for making all payments due in connection with your program Reservation, notifying Epr Travel if any changes or cancellations are required and keeping your party informed.

PRICES AND CURRENCY

All prices published on our website are  based on a booking for 2 passengers. Epr Travel reserve the right to change the price of a product at any time before final confirmation ( this change will be if it is strictly necessary, or change the tax policies in the country.) . All products and services are published in USD and should be paid in USD.

CANCELLATIONS BY YOU AND REFUNDS:

To cancel your booking, you must send immediately a notification in writing to us  at info@eprtravel.com

Cancellation fees will be applied per person according to the following schedule, based on the date we receive your written notification, not when you send it or notify us by phone:

Standard cancellation fee schedule for Group Departures**

Minimum fee is $150 per person nonrefundable

90 days prior to departure No Penalty fee

89 to 60 days prior to departure: 10% of the trip price

59 to 30 days prior to departure: 50% of the trip price

29 -0 days prior to departure: 100% of the trip price


Standard cancellation fee  for Custom Tours**

Minimum fee is $100 per person nonrefundable

90 days prior to departure No Penalty fee

89 to 60 days prior to departure: 10% of the trip price

59 to 30 days prior to departure: 50% of the trip price

29 -0 days prior to departure: 100% of the trip Price


* Any payment processing fees are non refundable.

**Note: Cancellation and transfer schedules for cruises, safaris, custom trips, and certain special events and private trips are often stricter. These exceptions are clearly indicated in the cancellation policies for each of these trips. Internal airfare purchased on your behalf by  Epr Travel is subject to the airline’s cancellation policies.

***Non-refundable deposits:

No fully refunds will be provided for any unused portion of a tour once the tour begins, including if you leave a tour for any reason, miss the tour’s departure date, or have to be removed from a tour. There are no exceptions to this cancellation and refund policy, including for reasons related to weather, civil strife, personal, family or medical emergencies or any other circumstances beyond our control. For this reason, we highly recommend that you purchase trip cancellation and interruption insurance. We will analyze each case to be empathetic with you.

COVID-19 WORRY-FREE BOOKING

Epr Travel knows that in these uncertain times, changes can come out of the blue.

  1. For this reason, for any booking made with us you have the right to change the date of your trip up to 15 days prior to departure at no additional cost.
  1. Free rescheduling will be available at all times and the credit voucher will be valid for one year from the departure date. This gives you more time to make decisions about your future travel, and the security of knowing that if for any reason you need to reschedule your trip, We are happy to help!
  1. Once in Ecuador, if you request a cancellation by covid-19, you can cancel the trip and may be entitled to a partial refund, depending on how many days of your trip your request was made, services used and reservations paid in advance.
  1. If you want a refund it is not a problem, for this it is very important that you justify the reasons for doing so by email and the backups that justify the request for this refund.
  2. It is important that you know that in order to make the refund we will apply the bank transfer fees that this implies.


IF YOUR TRIP IS POSTPONED DUE TO COVID:

If your trip is postponed, the money you have paid will be applied to your rescheduled trip, or may be transferred to an alternative trip of your choice, there is also the option to leave as a credit in your favor for future trips with Epr Travel and these must be used before December 31, 2022. The credit is non-transferable and non-refundable. 

Any payment for an alternative trip and a balance left in your favor will be credited to your account for future trips with Epr Travel and to be used at a later date, in case you can no longer take a new tour with us you can transfer your overpaid credit to another passenger.

It is important for you to know that you are responsible for non-refundable airfare, insurance and other related non-refundable costs.

* In order to apply our penalty-free cancellation or rescheduling policies to your trip, we will request a COVID-19 test. If your test result is negative, we will apply the standard cancellation fees. If the test is positive, we will apply the Covid-19 Worry-Free Booking.

RESPONSIBILITY

Epr Travel acts only as an intermediary for the various independent suppliers that provide lodging, meals, transportation, sightseeing, activities or other goods and services connected with your program (“Supplier” or “Suppliers”). You acknowledge that you are aware and clearly understand that these Suppliers are independent contractors, are not managed by Epr Travel and are not agents or employees of Epr Travel.

FORCE MAJEURE 

We will not be liable to pay the customer any compensation if any changes or cancellations to a tour is due to force majeure which is defined as any unavoidable and extraordinary circumstances. These are events beyond Epr Travel’s control, with consequences that could not have been avoided even if all reasonable measures had been taken. Examples of force majeure includes acts of terrorism and the threat of the same, warfare, civil strife, interference by authorities, significant risks to human health such as serious diseases, pandemics or natural disasters such as floods, earthquakes volcano eruptions, extreme weather conditions, unavoidable technical problems with transport and all other similar events outside of Epr Travel’s or their suppliers control.

IMAGES RELEASE:

 You grant us and our Suppliers a worldwide, royalty-free, perpetual license to use, re-use, distribute, display, create derivate works of, and reproduce any images, photos, or videos that you provide to us (whether directly or through a photo sharing service) in any medium, including but not limited to print, electronic media, or Internet, free of charge and without your right to inspection, for any purpose, including to promote and publicize our travel products and services worldwide.

You also acknowledge and agree that we or other parties, including but not limited to our Suppliers and other participants, may during your trip take or create images, photos, sound recordings and videos in any format that contain or feature you or the Child (collectively, “Images”). These images may contain your or the Child’s name, likeness, identity, photographic image, videographic image or oral or recorded statements. You agree that we and our Suppliers may use these Images for any purpose, including to promote and publicize our travel products and services, and grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images with your prior inspection.

PRIVACY POLICY

Epr Travel will handle all personal information with utmost care and do the best to protect all personal information. Personal information will only be provided to relevant suppliers and carriers that will enable the operation of the services requested by the customer.
